Many properties, few hands
A caretaking business looks after properties for several property managers and condominium owners. Each has its own rhythm: stairwell, grounds, container area, heating check, snow clearing in winter. In between, the property manager calls because a lamp is flickering on the third floor or a flat is being handed over.
Who does what, when and where is written on a wall calendar or in a spreadsheet that only one person maintains. The trailer is booked twice on Tuesday, the hours for the extra work are on a slip of paper in the car, and at the end of the month you piece together what is billed to which property manager.

One property manager, many buildings
The property manager is the client, each building is an address of its own with a label. When planning you choose client and address, on the invoice the address it goes to. Clients you no longer work with are archived without losing their history.
Jobs per person and day
Rounds, cleaning and repairs are planned as tasks in the calendar, with the status planned, active, done or cancelled. The task overview filters by year, month and status and searches title, client, address and assigned person.
Vehicles and equipment without double booking
Vans, trailers, pressure washers or snow blowers are recorded as equipment and booked onto a task. If a device is already taken in the same period, Facilon does not allow the second booking. Equipment management is included from the Advanced plan.
Quote and bill extra work
For the spring clean or the hedge trimming you write an offer with items for labour and material. The offer becomes the task and then the draft invoice. The invoice list shows what is open, paid or overdue.

How do I set up a property manager with several buildings?
You create the property manager as a client and add each building as an address of its own with a label. For every task you choose the client and the address where the work is done.
Can I schedule vehicles and machines?
Yes, from the Advanced plan. You record vehicles, devices and tools as equipment and book them onto tasks. A resource cannot be booked twice in the same period.
How do I bill work charged by the hour?
You create the invoice from the completed task or directly for the client and add items for labour and material, either freely or from your item templates with a default amount and VAT rate. Facilon has no time clock; you enter the amount for the hours worked as an item.
Can I export the invoices for bookkeeping?
Yes. The invoice overview exports all invoices of a year as a CSV file, and every invoice can be saved as a PDF. There is no direct interface to accounting software.
