Why the QR-bill eats time in a small business
Since October 2022 there have been no red and orange payment slips in Switzerland; payments are made with the QR-bill. Many small businesses have since made do with a generator on the internet or in e-banking: type in amount, address and message for every invoice by hand, save the payment part as an image and copy it into the Word invoice.
That works as long as there are few invoices. But every figure is entered twice, a typo in the amount only shows when the payment arrives, and without a reference you match incoming payments to the right invoice by hand.
How the QR-bill is created in Facilon
Set up once
In the company settings you switch on the QR-bill and enter the IBAN or QR-IBAN, your company address and, if needed, a different billing address. Facilon checks the IBAN and tells you which required details are still missing.
Invoice from a job, an offer or for a client
The invoice takes over client, address and items. If VAT is activated, you choose the rate per item and the document shows the VAT. Discounts, your own invoice text and the payment term in days are part of it.
Payment part with reference
The amount in Swiss francs, your address and the client’s go into the QR code in structured form. With a QR-IBAN, Facilon builds the QR reference from the invoice number, with a normal IBAN the creditor reference. That way every payment can be matched to its invoice.
A PDF in your style
The payment part is on the last page of the PDF. Above it are your logo, your texts and the items in the classic or modern layout. You send the PDF by e-mail or print it; in the invoice list you set the status to sent and paid.
Questions about the QR-bill
What do I need to create a QR-bill?
You need the IBAN or QR-IBAN of your account, your complete company address and the client’s complete address with street, postcode, town and country. You enter your own details in Facilon once; after that every invoice contains the payment part.
Does Facilon support the QR-IBAN and the QR reference?
Yes. If you enter a QR-IBAN, Facilon generates a 27-digit QR reference with check digit from the invoice number. With a normal IBAN a creditor reference according to ISO 11649 is used.
What happens if the client’s address is incomplete?
Before the PDF is created, Facilon points out that street, postcode, town or country are missing. You can complete the address or print the invoice without the QR code this one time.
Can I issue QR-bills in euros?
No. Facilon issues invoices and the QR payment part in Swiss francs; invoices in euros are not supported.
Is the QR-bill included in every plan?
Yes, the Swiss QR-bill is included in every plan, also in the Starter plan for CHF 10 per month.
