When the season starts, the office work is left undone
During the day you are in the client’s garden, in the evening you write offers: scarify the lawn, trim the hedge, lay a new patio. The prices are in an old offer that you copy and adapt. Which offers have been accepted and which are still open, you know only roughly.
Then it rains for three days and the whole weekly plan shifts. Two teams need the chipper on the same morning, an employee is on holiday and nobody thought of it. And the invoice for the hedge trimming three weeks ago has still not been written.

Offers from your own items
Frequent work and materials are saved as item templates with a default amount, the category labour or material and a VAT rate. In the offer you insert them, adjust the amount and give a discount if needed. The PDF carries your logo and states for how many days the offer is valid.
An overview of open offers
Every offer has a status: draft, sent, accepted or rejected. The offer list filters by status, month and year. When the client says yes, you create the task with date and responsible person straight from the offer.
Plan teams, holidays and machines
In the calendar you see the jobs per day, week or month and per person. Holidays and sick leave of the team are recorded, overlaps are reported. The chipper, the trailer or the mini excavator are booked onto the job as equipment (from the Advanced plan), so that no machine is assigned twice.
Invoice right after the job
When the work is done, you create the draft invoice from the task or the offer. Items and client details are already there; you add what came on top. The invoice contains the Swiss QR payment part if you want it, and the invoice list shows which invoice is overdue.
Questions from gardening businesses
Can I show labour and material separately?
Yes. Every item belongs to the category labour or material. In the company settings you decide whether offers and invoices show the two blocks separately with a subtotal.
Can I use different VAT rates for plants and labour?
Yes. If VAT is activated in the company settings, you choose the rate per item: standard, reduced, special or no VAT. Which rate applies to which service is your decision; Facilon calculates with the chosen rate and shows the VAT in the document.
What do I do when the weather upsets the plan?
You open the affected tasks and change date and time. As when creating a task, Facilon checks whether the assigned person or a booked machine is already taken at the new time.
Does Facilon work outdoors on a phone?
Yes, Facilon runs in the browser on a phone, tablet and computer. Employees see their jobs there with address and client details and mark a task as done. An internet connection is required.
