Software for tradespeople and service technicians: from call to invoice

Plumbing, electrical, heating, painting, carpentry or appliance service: whoever carries out jobs at the client’s premises needs client data, appointments, offers and invoices in one place. Facilon connects these four things without being an ERP.

The job is done, the office work is not

A client calls, the boiler is dripping. You note the address and phone number on a pad, drive there the next day, replace the valve and drive on. You write the invoice on Saturday, when you find the note again: look up the client’s address, write down the material from memory, generate the QR payment part in e-banking.

Larger jobs come with an offer. It is written in Word, the acceptance comes by phone, the appointment is in a private calendar, and when two fitters are out, nobody knows for sure in the morning who has the service van. None of this is difficult, but everything is entered twice.

How trade businesses work with Facilon

  1. Client and job in the same form

    When the call comes in, you create the task and record the new client along with it: name, phone, address of the site. You set the appointment and the fitter in the same form. Existing clients are found by searching for name, company or e-mail.

  2. Offers that become the job

    Items for labour and material are inserted from your templates, with VAT rate and discount. When the client accepts, you create the task from the offer. If the offer already has one, Facilon asks whether it should be updated or replaced.

  3. The fitter’s day on the phone

    Every person sees their jobs with time, address and client details and marks them as done. In the office, the task overview shows what is planned, active, done or cancelled. The service van and special tools are booked onto the job (from the Advanced plan).

  4. Invoice from the finished job

    From the task you create the invoice with client details and items: as a PDF in the classic or modern layout, with logo, payment term and Swiss QR payment part. You set the status to sent and later to paid; overdue invoices are marked in the list.

Questions from trade businesses

Does Facilon make sense for a one-person business?

Yes. The Starter plan for one user costs CHF 10 per month and includes clients, tasks, calendar, offers and invoices with the Swiss QR-bill. It does not include the management of equipment such as vehicles and tools.

Can I turn an offer directly into an invoice?

Yes. In the offer you create a draft invoice with one click; it takes over the client and the items. In the same way the offer becomes the task for the job.

Does Facilon send offers and invoices to my clients by e-mail?

No. Facilon produces the offer and the invoice as a PDF; you send the PDF with your own e-mail program or print it. You set the status “sent” and the date sent in Facilon yourself.

Can I take over my existing clients?

Yes, by CSV import. You download the template, fill in name, company, e-mail, phone and address and upload the file. Rows with an e-mail address that already exists are skipped and listed after the import.
